ExpensesCalc is a free, non-commercial online project and not a separate legal entity.

1. Scope and acceptance
These Terms of Use (“Terms”) govern access to and use of the ExpensesCalc website and services (the “Service”), operated from Germany.
By creating a user account you confirm that you have read and agree to these Terms of Use.
By using the Service without an account (e.g. quick split), these Terms apply as the usage rules for that use of the Service.
If you do not agree, stop using the Service and do not create an account. Our Privacy Policy (Datenschutz) explains how personal data is processed and forms part of the information we provide; it does not replace these Terms.
2. Nature of the service
The Service helps people track and split informal shared expenses. Calculations are estimates based on data you and other participants enter. Results may be wrong if data is incomplete, mistyped, or shared incorrectly.
The Service is currently offered free of charge. No paid subscriptions are offered. The operator does not act as an escrow, payment provider, bank, or mediator of disputes between users, and does not verify the truth of expense amounts or settlements. The Service is provided in its current state of development.
Do not rely on ExpensesCalc for tax filings, audits, payroll, business accounting, insurance claims, or other regulated or high-stakes purposes.
ExpensesCalc does not process payments and does not create payment claims between users. Suggested settlement amounts are for orientation only.
3. Eligibility
You must be able to enter into a binding agreement under the laws that apply to you. If you use the Service on behalf of others (e.g. you create a group), you confirm you have permission to share their names/emails as needed for that feature and that they may see shared group data.
Persons under 16 may use the Service only with the consent of their parent or legal guardian.
4. Account responsibilities
You are responsible for your account and for how you use shared spaces:
- Keep login credentials, group PINs, and quick-split edit links confidential. Anyone with an edit link or PIN may change or delete data.
- Provide accurate registration details and keep your email reachable for security and service messages.
- Export or copy any information that is important to you. Groups and quick splits may auto-delete; we are not your backup service.
- Only invite people you trust. Members and link holders can see names, emails (where shown), expenses, receipts, and activity in that space.
- You are responsible for activity under your account unless you promptly notify us of unauthorized access after discovering it.
5. Acceptable use
You may use the Service only for lawful, private, informal cost sharing. You must not:
- Use the Service for unlawful, fraudulent, harassing, or abusive purposes.
- Upload malware, attempt to break security, scrape at abusive scale, or overload the Service.
- Upload content you are not allowed to share (e.g. other people’s documents without permission, sensitive special-category data, full payment-card details).
- Use the Service as business-critical infrastructure, regulated financial processing, or professional bookkeeping.
- Misrepresent your identity in a way that harms others or the Service.
- Resell, sublicense, or present the Service as your own paid product without our written permission.
6. Your content and shared data
You retain rights to content you submit (expense descriptions, receipts, notes). You allow us to store, process, and display that content to participants you authorize, solely for operating, providing, and technically administering the Service.
You confirm you have the rights to upload and share that content within the relevant group or split. Disputes about who owes what are between the participants — not with ExpensesCalc.
Users are responsible for entering or sharing only personal data of other people for which they have a corresponding authorization to process (for example names, emails, or third-party receipts/invoices).
7. Availability and changes
We may change, suspend, or discontinue features, retention periods, or the Service at any time, with or without notice, especially because the Service is free. We may also delete inactive or expired groups/splits according to the rules shown in the app and Privacy Policy.
8. Limitation of liability
We take appropriate technical and organizational measures to protect your data. However, we cannot guarantee uninterrupted availability of the Service or that it will always be free from errors.
Users are responsible for maintaining the confidentiality of their account credentials and for creating backups of any important information they store in the Service.
Liability is governed by applicable law. Liability for slight negligence is excluded only to the extent permitted by law. Typical situations where liability often does not arise or may be limited include damage caused by user error, incorrect entries, loss of access credentials, shared PINs or edit links, misuse of the Service, use of features other than as intended, disputes between users, third-party services (e.g. hosting, email delivery, or Google services after consent), or force majeure.
Unaffected in particular are liability for intent, gross negligence, injury to life, body or health, and mandatory statutory liability (including mandatory consumer protections that cannot be waived).
Because the Service is offered free of charge, liability for slight negligence — where legally permitted — remains excluded or limited to foreseeable typical damage, except where mandatory law provides otherwise.
9. Termination
You may stop using the Service at any time and may delete your account where that function is available. We may suspend or terminate access (including groups, splits, or accounts) if you breach these Terms, abuse the Service, create security risks, or if we discontinue the Service.
Upon termination, access may end immediately. Data deletion follows the retention rules in the Privacy Policy and in-app auto-delete settings. Hosting backups may temporarily retain copies until overwritten.
10. Third-party services
The Service may rely on third parties (e.g. Hostinger for hosting/mail). After your cookie consent, Google Analytics, Google Tag Manager, and Google AdSense may load; details on cookies, consent, and IP anonymisation are in the Privacy Policy. Their availability and terms are outside our full control. Optional analytics/advertising scripts are not required to use the calculator.
11. Intellectual property
ExpensesCalc branding, site design, and software are protected by applicable intellectual property laws. You may use the Service for its intended purpose only. Do not copy or redistribute the Service except as allowed by law or with our permission.
12. Governing law
These Terms are governed by the laws of the Federal Republic of Germany, excluding conflict-of-law rules. Mandatory consumer protections in your country of residence remain unaffected. The courts at the operator’s seat in Rostock, Germany have jurisdiction where legally permitted; consumers may also sue in their place of residence where mandatory law so provides.
13. Changes to these terms
We may update these Terms from time to time. The current version is always published on this page with a “Last updated” date. When we publish a new version date, we email registered account holders as a service notice. Continued use after changes means you accept the updated Terms, unless mandatory law requires a different process. If you disagree, stop using the Service and delete your account.
