How to Photograph and Store Travel Receipts for Group Expenses

Paper receipts disappear fast: crumpled in a pocket, lost at the hotel, or forgotten entirely. On group trips, clear proof of purchase keeps everyone on the same page. Here is how to photograph and store receipts the right way.

Why receipts matter on group trips

Shared expenses are not just about trust—they are about clarity. A receipt photo shows what was bought, which currency was paid, and whether tax or tip was included. When someone asks “What was that for?”, you have an answer ready.

How to take a good receipt photo

  • Use good light – daylight or bright indoor lighting; avoid heavy shadows.
  • Flat and complete – lay the receipt flat and capture all four corners.
  • Sharp and readable – hold steady; amount, date, and merchant name must be clear.
  • One receipt per photo – multiple slips in one image are hard to verify.

Save immediately—not “later”

The most common mistake is “I’ll photograph it later.” Snap the receipt right after paying—at the table, counter, or in the taxi. Wait too long and the paper is gone or the details are fuzzy.
