A group trip ends — or flatmates have been sharing rent, utilities, and groceries for months. Eventually everything lands in one long list, and nobody remembers which debts belong to June and which to July. That is why ExpensesCalc uses month-by-month balances: each month stays its own space, and you settle where the spending happened.
The problem with “one big pot”
Many apps and spreadsheets roll open amounts forward forever. That sounds convenient, but it often causes:
- Confusion: “Was that €40 transfer for June or for the May trip?”
- Rehashing old items that were already settled
- Wrong totals when someone pays “now” for spending that belongs in another month
Month-by-month balances keep it clear: June stays June, even if you settle in July.
How the flow works
1. Add what was spent
Create a group with a PIN, or split directly with friends. Each expense gets an amount, payer, and participants — optionally with a receipt and multiple currencies. One shared list beats chat screenshots.
2. Check balances in the right month
Switch months to review spending or record payments. Past months are for review; the current month is where you settle actively. Your dashboard still shows the all-time total you owe or are owed across open items.
3. Settle — and remind if needed
Record a payment in the month it belongs to. Payment emails include the group and month so nobody has to guess. On the friends page you can send a settle reminder with the open amount. Shared group balances with a friend also show on their profile — not only direct 1:1 expenses.
Example: flat share + weekend trip
Anna and Ben share flat costs in June. In July they go to the coast with two friends. Without month separation, the electricity bill mixes with the Airbnb. With monthly balances:
- June: household costs and their settlement only
- July: trip costs and trip settlement only
- Dashboard: both open totals at a glance
If Ben pays the Airbnb debt in August, the payment still belongs to July — not the month he opens the app.

Tips for a clean settlement
- Log expenses on the day they are paid when you can
- When settling, pick the month where the expenses live
- Use reminders instead of chasing people in chat
